Move every mailbox, with its old mail
When email moves, every address has to keep receiving mail. Old mail has to come across too, or staff lose their records.
- Wrote to every client first, then set a clear switch-off date for the old server.
- Set up a separate Zoho Mail account for each client and moved each mailbox’s mail across. Very large mailboxes were split into current and archive boxes.
- Moved the largest client, 34 mailboxes, over one weekend. Monday started normally.
- Sent every client a completion notice with a how-to guide, and solved the stalled moves one by one.

Move websites and domains, one at a time
A domain’s settings tell the internet where to deliver email and where to find the website. Switch them before the new home is ready and email bounces.
- Listed every site and what it depends on, then moved about 28 sites to new hosting and set up a security certificate on each.
- Copied each domain’s records from two sources and checked them on Cloudflare before switching anything. The old records stayed in place in case we needed to switch back.
- Asked clients who held their own settings to hand them over. Future changes now take minutes.
- Left one domain where it was on purpose. It runs a live app across several servers and needs its own plan.
