For law firms

An office pack for law firms that hold confidential work

Client matters stay confidential, every file is easy to find, and the firm keeps control when someone leaves. We set up and look after your email, documents and devices to make that happen.

A laptop, scales of justice and a gavel on a desk

What the pack covers

Built for chambers and firms of 5 to 200 people. You choose the parts you need.

  • Client confidentiality

Every lawyer and staff member signs in to an account the firm owns, with a second sign-in step. Laptops and phones are encrypted. Everyone knows what may and may not leave the firm.

  • Email security

Fake payment instructions from look-alike addresses are a common fraud on law firms and their clients. We put your email on your own domain, add the settings that prove it is really from you (SPF, DKIM and DMARC) and switch on phishing filters.

  • Document handling

Shared drives open only to the people on each team and matter, and keep every earlier version. Documents go to clients by secure link, instead of as loose attachments.

  • Matter files

Every matter uses the same folder layout. Anyone with access can find a file, and handing over a matter when it closes or moves takes minutes.

  • Access when staff leave

On a leaver’s last day, their access closes. We keep their mailbox and pass it to a colleague, move their shared files, and collect and wipe their devices, following a checklist.

  • Backups and support

We back up mail and documents and test the backups. Your staff can reach our helpdesk in business hours for everyday problems.

Where our part ends

Included

  • Setting up and running your email, documents and devices
  • Access control and the leaver process
  • Preparing your systems for an NDPA audit, beside a licensed DPCO partner
  • Training your staff on the few habits that matter

Not included

  • Legal practice software owned by its vendor, beyond connecting to it
  • Filing NDPA audit returns, which a licensed DPCO does
  • Certifying or guaranteeing compliance with any regulation

On NDPA work, we do the technical set-up, preparation and security work. A licensed DPCO carries out the audit and files it.

How we start

  1. Free Digital Asset Audit

We check who holds your domain, email and hosting, and how your mail is protected, and send a 2-page note.

  2. Scoping call

How many people you have, how matters are filed today, who sends what to clients, and what happens when someone leaves.

  3. Your fixed price

You get a fixed price before we start. It shows what we do, what the firm decides and what your software vendors control.

  4. Set-up and handover

We move the firm across in stages and train your staff. The partners get a list of every account and who holds it.

Questions law firms ask

We use personal Gmail addresses today. Is moving hard?

No. We set up email on the firm’s domain, move your old mail across if you want it, and send clients a short note with the new address. From then on the firm owns every mailbox, which matters most when someone leaves.

Who can see client documents?

Only the people you decide. We set access by team and by matter, and the managing partner keeps the master login. If we need admin access, we list it so you always know what we hold.

Can you help us meet our NDPA obligations?

Yes, with the technical set-up, preparation and security work. A licensed DPCO partner carries out the audit and files it. We do not certify, audit or guarantee compliance.

What does the pack cost?

It depends on how many people you have and how much mail and files we move. After one call we send you the price and a list of what it covers.

Know who holds your firm’s accounts
